This posting may close once a sufficient number of qualified applications have been received.Hours: 40 hours per weekFLSA status: ExemptEarliest Start Date: As soon as possible.Salary: Commensurate with experienceRequired Application Materials:• Resume• Cover Letter• List of three referencesPosition SummaryUnder minimal supervision and with considerable latitude for the use of initiative and independent judgment, provides leadership and direction for University contract administration and compliance.Statement of Duties and Responsibilities:Responsible for oversight and implementation of contracting, credentialing and renewalsDevelops and implements procedures for contract management and administration in compliance with University policy. Responsible for implementing contract system tracking and reporting.Facilitates compliance with University agreement review processes, agreement execution, and distribution. Responsible for independently tracking, interpreting, and analyzing guidelines for operational impact, and coordinating with impacted business units to implement practices to ensure compliance.Ensures that University software system meets campus contract management and administration needs. Directs and manages implementation of University software system for automation of agreement review process.Serves as the point of contact for campus requestors on University agreement review process; acts as liaison between University and software system provider; ensuring timely review and approval of submissions.Establishes, maintains, and works effectively with campus requestors and division points of contact to evaluate compliance with the contract management program and related software.Resolves issues by defining causes of errors and recommending appropriate resolution.Provides guidance on contract submission within software to campus requestors and division point of contacts in regards contracting practices and procedures.Ensure that signed contracts are communicated to all relevant parties to provide contract visibility and awareness.Monitors compliance with established contract procedures by campus stakeholders.Identifies opportunities to improve business processes and devises plans to implement these changes.Monitors submission process for compliance with established procedures.Assist in reviewing business contracts, agreements, and MOUs to ensure alignment with university policies, compliance requirements, and financial guidelines.Collaborate with business departments, legal counsel, and academic units to gather necessary information for accurate and timely contract assessment.Maintains working relationships and regular communication with campus points of contact and conducts monitoring and oversight of program performance.Maintains contractual records and documentation such as receipt and control of all contract correspondence, contractual changes, reports, and other documents for all projects. Ensures the organization's internal contract documents are accurate and well maintained.Maintain records for correspondence and documentation in relation to established contracts and those in progress.Administers records management policies designed to facilitate effective and efficient handling of records; ensures compliance with policies, procedures, and practices for systematic retention, protection, retrieval, transfer, and disposal of records.Reviews and analyzes practices and procedures; makes recommendations to ensure established standards are met.Provides technical planning assistance and training; may serve as a subject matter expert (SME) providing specific consulting/advising services.Administers any other software platforms utilized by the teamEvaluates effectiveness of support functions and recommends changes.Understands department's role in accomplishing the University's mission.Compiles and submits reports as required by management, state, local, and federal regulatory agencies.Applies a range of policies, procedures, and best practices to develop implementation plans, evaluate compliance, and develops new policies and procedures.Knowledge of all Microsoft Office software and able to learn and use institutional software systems.Complies with all State and University policies.Other duties may be assigned.Supervisory Responsibilities: Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws.QualificationsTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
